What to Expect When Forwarding your Luggage in Japan?

What is Luggage Forwarding?

Often surprisingly cheap and amazingly fast, several companies offer the option to transport your luggage ahead of you so it is waiting for you at your next location.

This is a great option for travelers with large or awkwardly sized luggage wishing to take public transit to the airport, the next hotel, or to any other destination. This is a particularly good option when traveling with over-sized gear including skis and snowboards, or at the end of your trip, when you are loaded down with gifts and purchases and don’t want to tackle the trains with your luggage.

Why Use Luggage Forwarding?

Convenience: Instead of dragging your suitcase on crowded trains or navigating narrow streets, you can send your luggage directly to your next stop.

Time-saving: By eliminating the need to check in at every hotel, you can maximize your sightseeing time. Most services can deliver your bags within a day.

Less Stress: Traveling without heavy luggage makes your journey more enjoyable. You can focus on experiencing Japan’s incredible culture and scenery instead of worrying about your belongings.

Several companies offer luggage forwarding in Japan, including:

Yamato Transport (Kuro Neko Yamato): One of the largest providers, known for its reliability.

Sagawa Express: Another well-established option with various delivery services.

JAL ABC: Operated by Japan Airlines, catering specifically to travelers.

You can easily find these services at major train stations, airports, and hotels.

We have found that most travelers prefer utilizing Yamato Transport. Most commonly referred to as “Kuro Neko” or “Black Cat,” Yamato Transport has offices all over Japan including airports and major train stations. Additionally, most hotels and even small guest houses will arrange for pickup and/or delivery of items on your behalf. Yamato Transport also has a website featuring multiple language options, allowing you to preview rates and services ahead of time.

How to Prepare your Luggage for Forwarding:

Before using a luggage forwarding service, ensure your luggage is packed, secured, and ready to go.

Check the Weight Limit: Most services have weight restrictions (usually around 25 kg per bag), so pack accordingly. We recommend bringing a small hand-held luggage scale, but if you do not have one, don’t fret. Most of these services will have large scales at the drop-off counters, so you can always move objects around or repack at that time if necessary.

Secure Your Items: Use luggage locks and keep valuables in your carry-on. Most luggage forwarding services offer compensation (liability limit) for lost or damaged parcels, but the amount can vary depending on the items shipped.

Label Your Bags: Clearly label your luggage with your name, destination address, and contact information. Making your luggage as easy to identify as possible, is always helpful in the unlikely event it gets misplaced.

Keep Necessary Items: While luggage forwarding is very convenient, it can sometimes take time. Most services will deliver your items the following day (depending on distance), so please ensure that you have everything you need for at least 24 hours with you.

What to Expect When Forwarding your Luggage in Japan?

Once you’ve arrived at a designated service counter, often found at train stations, airports, and major hotels, here’s what to expect:

Fill Out the Form: You’ll need to complete a mailing form with your details and where you want your luggage sent. Some providers also have English-speaking staff and/or paperwork.

Pay the Fee: Costs vary depending on the size of your luggage and the distance it needs to travel. Expect to pay between ¥1,500 to ¥3,500 for typical service.

After dropping off your bags, you’ll receive a receipt with a tracking number. Use this number to monitor the status of your luggage online. This feature adds an extra layer of peace of mind, knowing where your belongings are at all times.

Luggage typically arrives at your designated location by the next day (sometimes the day of). When you arrive at your hotel or the specified address, your bags should be waiting for you. If they’re not there when you arrive, contact the service provider using the information on your receipt.

Using luggage forwarding services in Japan can significantly enhance your travel experience, allowing you to explore the country with ease and comfort. By taking advantage of these services, you can focus on what truly matters—making unforgettable memories in one of the most fascinating places on Earth. Whether you’re wandering through quiet Onsen Villages in Nagano or enjoying the hustle and bustle of Tokyo, traveling light is the way to go!
